Privacy Policy

This policy covers funeralwiseai.com and the AI assistant that answers calls and messages for funeral homes using FuneralWiseAI.

It is written to be read by families as well as by customers, so it is in plain language. Where a specific number matters — how long something is kept, who it is shared with — the number is stated rather than described.

1.Who we are

FuneralWiseAI is a product of ChurchWiseAI LTD, a Canadian corporation, operating as WiseAI Agency. Throughout this policy, “we”, “us” and “FuneralWiseAI” mean ChurchWiseAI LTD.

The company name is not a brand exercise — it is where the responsibility sits. The same company operates the sister brands on the same infrastructure, and the same policy applies to all of them. Being Canadian matters legally: we are subject to PIPEDA, and privacy complaints can be taken to the Office of the Privacy Commissioner of Canada.

2.Two kinds of people

Two very different people read this page, and they have different rights.

Families who call or message a funeral home. You did not choose FuneralWiseAI — you rang a funeral home and an assistant answered. The funeral homecontrols your information; we hold it on their behalf.

Funeral homes who buy the service. You are our customer, you own your data, and you decide what the assistant does.

In legal terms: the funeral home is the controller of caller information and we are the processor. We do not sell data, and we do not use one customer’s data to answer another customer’s calls — every account is isolated at the database level.

3.If you called or messaged a funeral home

Calls to a funeral home are made at one of the hardest moments of a person’s life. The assistant is built to take a small number of practical details — who is calling, how to reach them, what has happened, what they need next — and then get a real person involved. It does not probe, and it does not ask for more than the home needs to call the family back.

Typically that means your name, your phone number or email, and what you said.

If a death has just occurred and you need someone now, the assistant will take your number and alert the funeral home’s on-call director. If you are in crisis or thinking about harming yourself, please contact your local emergency number or a crisis line — the assistant is not a crisis service and will tell you the same.

4.You are talking to an AI

The assistant says so. It identifies itself as an AI at the start of a conversation, and it is built on a principle we do not bend: AI is a bridge to people, never a replacement for them. Its job is to take your details and get a human involved.

  • It is not a funeral director, and it does not give funeral, legal, or financial advice.
  • It is not a grief counsellor, a therapist, or a member of the clergy.
  • It does not quote a final price or enter into a contract on the home’s behalf.

If you would rather not speak to an assistant at all, say so, or hang up and email the funeral home directly. Nothing is withheld from you for declining.

5.Transcripts and recordings

These are two different things, and the difference matters, so we state it plainly rather than lumping them together.

Transcription is what normally happens. Speech on a voice call is converted to text so the funeral home can read what was said and follow up properly. The assistant tells callers the call may be transcribed and reviewed by authorised staff.

Audio recording is a separate feature, and it is off by default. A funeral home administrator can turn it on. When it is on, the caller is told at the start of the call that it may be recorded, and continuing the call is how consent is given. If you do not want to be recorded you can hang up and use email, web chat, or an in-person visit instead.

Where recording is on, any caller may ask for a copy of their own recording, or ask for it to be deleted, by writing to privacy@churchwiseai.com. Deletion requests are completed within five business days.

6.If you are a funeral home customer

You own your data. That includes transcripts, contact and callback records, your knowledge base and FAQ content, team member records, configuration, and usage analytics. You can export it, and you can ask us to delete it.

We hold your account email, billing details (through Stripe — we never see your full card number), the content you give the assistant to work from, and the records the assistant creates. We use it to run the service, bill you, and support you. Nothing else.

7.Who else touches the data

We do not sell personal information, and we do not share it for advertising. We do use service providers to run the product, and they see only what they need to do their part:

A funeral home administrator can delete individual records earlier at any time, and can ask us to delete an entire account’s data.

9.Security

Data is encrypted at rest with AES-256 and in transit with TLS 1.2 or better; voice connections use secure WebSockets. Backups are encrypted and held in geographically separate regions. No customer data is stored on employee devices, and none is kept on your device beyond a session token.

If a breach affecting personal information occurs, we notify affected customers and the appropriate regulator as PIPEDA requires, and we keep the record of it for at least 24 months.

10.AI training

We do not train AI models on your data. The model providers we use state in their API terms that data sent through the API is not used to train their models, and we hold data processing agreements with them. Requests are processed and discarded; providers may hold them briefly for abuse monitoring, typically up to 30 days.

11.Your rights

Whether you are a caller or a customer, you can ask what we hold about you, ask for a copy, ask for a correction, ask for deletion, or withdraw consent. Write to privacy@churchwiseai.com.

If you called a funeral home and want your information removed, you can write to us directly — you do not have to go through the funeral home — though we may need to notify them, since the records are theirs.

If you are unhappy with how we handle a request, you can complain to the Office of the Privacy Commissioner of Canada.
